OVERVIEW AND REGISTRATION OF THE ORGANIZATION'S GUESTS

What if the employees were able to pre-register their guests from the meeting request in Microsoft Outlook and the reception were able to register and check out the organization's guests? Then it would always be possible to keep track of which guests were present in the building, where they were, and which employee they were having a meeting with.
CONCIERGE RECEPTION is a guest registration tool, which provides a complete overview of the organization's guests while ensuring that the guests are introduced to the business in a professional manner upon arrival.

FUNCTIONS IN CONCIERGE RECEPTION
Reception
  • Is able to register and check out guests. The guests are registered e.g. using their name, company, hostname, or purpose of the visit.
  • Is able to print personal guest badges (labels).
  • The guest labels are designed for the individual organization.
  • The information is stored. For instance, the visit's beginning and ending time, and purpose of the visit.
  • Has an overview of which guests are present in the house, who they are visiting, and where they are supposed to be.
  • Digital signage on an information monitor in the reception area that can guide guests in right direction and provide information about e.g. meetings for the day (requires CONCIERGE DISPLAY).
  • Is able to generate reports of meetings of the day or the week to come.
  • Is able to search for guests or hosts.


Pre-registration of guests
  • Employees are able to pre-register their guests through the meeting request in Microsoft Outlook. The employee who is expecting a guest fills out all the data about the guest or imports the person from the address book in Microsoft Outlook. Since the pre-registration is made in the meeting request, the time of the visit will automatically be transferred (requires CONCIERGE CATERING).
  • Employees are able to pre-register a whole group through the meeting request in Microsoft Outlook. The employee is able to state the size of the group, name a primary contact, and fill out data about the guests (requires CONCIERGE CATERING).


Self-registration
  • The guests can enter their own data on a self registration terminal or info kiosk in the reception. When a guest has finished the registration a guest label is automatically being printed and the reception can hand it out to the guest.

    The self-registration tool can be turned on and off. The self-registration tool can also work as a standalone product with no other CONCIERGE SERVICES modules installed.
